5. Data Privacy

·       Sessions are conducted in private, secure rooms to prevent unauthorized listening or observation.

·       Patient data transmitted electronically is encrypted in transit and at rest.

·       No PHI is shared over unencrypted emails or unsecured messaging apps.

6. Session Recording

·       Recording of telehealth sessions is not permitted unless explicitly authorized by the patient and documented in writing.

·       Any authorized recordings are stored securely in compliance with HIPAA and state laws.

7. Staff Training

·       All clinicians and staff receive training on telehealth security best practices, including:

o   Recognizing phishing or security threats

o   Ensuring patient privacy during remote sessions

o   Secure handling of digital PHI

8. Incident Reporting

·       Any suspected telehealth security breach is reported immediately to the HIPAA Privacy Officer.

·       Breaches are investigated, mitigated, and documented according to regulatory requirements.

This provides a clear framework for protecting patient information during telehealth visits and ensures compliance with HIPAA.

Refund Policy – Turned Leaf Psychiatry

At Turned Leaf Psychiatry, we are committed to providing high-quality mental health care and services. Our goal is to ensure that every client receives the support and care they need.

1. Appointments & Session Fees

  • All fees for services, including psychiatric evaluations, therapy sessions, telehealth appointments, and consultations, are due at the time of service.

  • Payment can be made via credit/debit card, insurance copay, or other accepted methods listed on our website.

2. Refund Eligibility

  • Non-refundable services:

    • Psychiatric evaluations

    • Therapy sessions once completed

    • Any administrative or processing fees

  • Refunds may be considered if:

    • There is an error in billing

    • A session was cancelled by Turned Leaf Psychiatry and could not be rescheduled

Refunds will be processed within 7–10 business days of approval, via the original payment method.

3. Appointment Cancellations

  • Clients must provide at least 24 hours’ notice for appointment cancellations.

  • Late cancellations or no-shows may result in a cancellation fee up to the full session cost.

  • Exceptions may be made for emergencies or unforeseen circumstances at the discretion of the provider.

4. Insurance

  • If using insurance, reimbursement is subject to the policies of your insurance provider.

  • Turned Leaf Psychiatry cannot guarantee insurance coverage or reimbursement.

5. Modifications

  • Turned Leaf Psychiatry reserves the right to update or modify this refund policy at any time.

  • Any changes will be posted on our website at www.TurnedLeafPsychiatry.net.
